Exporting expense reports to accounting: CSV and DATEV

Last updated on Oct 15, 2026

Finance takes approved reports into accounting from the Expense reports list, as a CSV file or, for companies in Germany, as a DATEV booking batch.

Where to find it

Left sidebar → Expenses → Expense reports (/app/expense-reports), the export options in the list. For Directors and Accountants.

How to export to CSV

Click Mark approved as exported and download CSV. All approved reports are exported, and their status changes to Exported.

How to export to DATEV (Germany)

  1. First set the DATEV accounts and the client and consultant numbers: Per diem → Settings → Accounting / DATEV export.
  2. Choose DATEV, per diem postings.

The file is a DATEV EXTF booking batch for one company and one fiscal year, ready to import into DATEV. It contains the per diem postings:

  • the tax-free and taxable parts against the "owed to employees" account;
  • the trip-card share against the card clearing account;
  • with the flat-tax option on, the flat 25% tax, plus solidarity surcharge and church tax, on the flat-tax accounts.

Good to know

  • Export one fiscal year at a time.
  • Exported reports close automatically some time after export.

FAQ

The DATEV export is missing or rejected. Fill in the accounts and the client and consultant numbers in Per diem → Settings → Accounting / DATEV export. Export one fiscal year at a time.

How does our accountant get the reports into accounting? On the Expense reports page, with Mark approved as exported and download CSV. Companies in Germany can also download DATEV, per diem postings for import into DATEV.

What happens to reports after the CSV export? All approved reports in the export move to Exported.
