Invoices: see and pay everything your company owes

The Invoices page brings together everything your company has to pay: trip orders and your Travel Code plan. You can see what is overdue, what is due soon, pay in one click, download PDFs and export the list for your accounting team. Where to find it Left sidebar → Expenses → Invoices (/app/invoices). What you see on the page Each trip order is its own invoice, and the invoice number is the order code. An order appears here once it is in Pre-booking, In progress or OK status and has an amount to pay. The amount matches the total shown on the order page. At the top, four tiles give you the full picture: - To pay: everything still owed. - Overdue: shown in red when there is an amount. - Due in the next 7 days: invoices due between today and 7 days from now. - Paid this month: payments received in the current calendar month. Each tile shows the amount, the currency and the number of invoices. Tiles are totalled in your company's main order currency. Invoices in other currencies are listed as separate lines under the main figure (for example "+ 1,200 EUR · 2 invoices"), so different currencies are never added together. The table has these columns: - Invoice: number, an Order or Subscription badge, and the issue date. - For: the traveller (plus "+N" when there are more) and the services, such as Flight · Hotel · Train · Transfer. - Due: the due date, with "in N days", "Today" or "N days ago" (in red), and "Instalment n of N" for orders paid in instalments. - To pay: what is still owed, with "of {total}" when part is paid. - Status. - Actions: Pay and a Download PDF icon. How to find an invoice 1. Open Filters. Every change applies straight away, and the panel shows how many filters are active. 2. Narrow the list with any of these: - Type: All, Orders or Subscription. - Search: an invoice number (order code) or a traveller's name. - Status: Unpaid, Overdue, Part paid, Paid, Payment failed (you can pick several). - Issued period: a date range. - Legal entity: shown when you have access to more than one legal entity. - Company: shown to TMC admins, to pick one of your clients ("All companies" by default). 3. The number of matches is shown under the filters ("Found: N"). Click Reset all to clear the filters. To sort, click the Invoice (issue date), Due, To pay or Status column header. By default the newest invoices come first. Sorting by status puts the most urgent first: Overdue, Payment failed, Part paid, Unpaid, Paid. How to see the details of an invoice Click a row. The detail panel shows: - the amount to pay (or the total, once paid), "{paid} paid of {amount}" and the date of the last payment; - "Next payment: {amount} by {date}" when the order is paid in instalments; - Issued and Due dates, the company or legal entity and the travellers; - a Payment schedule for orders with two or more instalments, with each instalment marked "Covered" or "Not paid yet"; - the buttons Pay, Download PDF and Open order. How to pay an invoice 1. Click Pay on the row or in the detail panel. 2. For a trip order, the order page opens with the usual payment methods. Choose one and complete the payment. 3. For a plan invoice paid by card, a secure payment page opens in a new tab. The Pay button is shown while there is something left to pay. How to get a joint invoice for several orders 1. Tick the checkboxes of the order rows you want. The checkbox in the header selects all orders on the page. 2. A bar appears with the number of selected orders and the total to pay (per currency, for example "1,000 USD + 200 EUR"). 3. Click Joint invoice (PDF). One PDF invoice for all the selected orders opens in a new tab. The joint invoice includes the selected orders that still have something to pay. To download the selected rows as a spreadsheet instead, click Export selected (Excel). Click Clear to drop the selection. How to export the list 1. Set the filters you need. 2. Click Download next to the filters and choose Excel (.xlsx) or CSV. The file contains the whole filtered list, not only the current page, up to 1,000 invoices. Columns: Number, Type, For, Company, Issued, Due, Amount, Paid, To pay, Currency, Status. The CSV opens correctly in Excel. The file is named invoices-YYYY-MM-DD. Good to know - Statuses: - Unpaid: nothing paid yet, due date not reached. - Part paid: some money received, due date not reached. - Overdue: money is still owed and the due date has passed. The detail panel shows how many days overdue. - Paid: fully paid. The date of the last payment is shown. - Payment failed: a plan renewal card payment that did not go through. - How the due date is set: 1. If the order is paid in instalments, the due date is the next instalment that your payments don't cover yet. 2. Otherwise, it is the order's "pay before" date. 3. Otherwise, it is the order date plus the invoice payment terms (in days) agreed for your company. The same date is printed as "Pay by" on the PDF invoice, so the list and the PDF always match. - The tiles always show the full picture. The Type, Status, Search and Issued-period filters don't change them, so an old overdue invoice stays in Overdue whatever period you look at. The legal-entity filter does narrow the tiles. - Trips an employee paid with their own personal card are not company invoices, so they are not listed. - The PDF icon appears when a printable invoice is available for the order, including paid orders. - Changing a filter clears your row selection. - Pagination: 10, 25, 50 or 100 rows per page (25 by default). Subscription invoices (your Travel Code plan) - Plan invoices appear under Type → Subscription. They include card invoices (with their own PDF and payment page), plans ordered by bank transfer that are waiting for payment (number SUB-…, marked "Bank transfer"), and plan payments taken from the company balance (shown as "Paid from balance"). - For a plan ordered by bank transfer, Pay opens Plan & billing. - On the European storefront your plan is billed in EUR, and on the GBP storefront in GBP. Paying for the plan by card there sets up automatic renewal in that currency, at the price fixed when you subscribed. - Subscription invoices are shown to the company's own users. FAQ I'm an Employee. Why can't I open Invoices? Invoices are open to Directors, Travel managers and Accountants of your company. Ask one of them for the invoice you need. Why is an invoice "Overdue" when we already paid part of it? The order is paid in instalments and the latest instalment date has passed without being fully covered. Open the invoice to see the payment schedule and the next amount due. Why don't the tiles change when I filter by status or date? The tiles are designed to always show everything you owe, so nothing overdue is hidden by a filter. Only the legal-entity filter narrows them. Can I get one invoice for several trips? Yes. Tick the orders and click Joint invoice (PDF). Which currency are our invoices issued in? In the currency of your contract with us. If your contract is in euros, your invoices are in euros, and so on. Our invoices are in two currencies. Why are they not added together? Amounts in different currencies are never converted or summed. The main figure is in your company's order currency, and other currencies are listed under it. Can I pay for our plan in euros? Yes. On the European storefront the plan is billed in EUR, and on the GBP storefront in GBP. Wallet: your company balance, top-ups and paying from the balance

The Wallet holds your company's deposit. You can top it up, pay for trips from it (in full at checkout or partly on the order page) and follow every movement in its history. Where to find it Left sidebar → Expenses → Wallet. How to top up the balance 1. Open Wallet and click Top up. 2. Choose a funding method: - Bank transfer: generate an invoice and pay it from your bank. Credited within up to 2 business days. - Card / Digital wallets: credited instantly. - Crypto top up: see below. 3. Follow the steps on screen to complete the payment. How to top up with crypto If Crypto top up is shown on your account: 1. Click Top up → Crypto top up. 2. Enter the Amount to top-up in USD (minimum 5 USD). 3. Click Top up. You are taken to a secure payment page. 4. Pay within 60 minutes. The funds arrive once the network confirms the payment. How to pay part of an order from the balance If the balance doesn't cover the whole order, you can still use what is there. 1. Open the order. 2. In Payment methods, click Pay from the balance. 3. Read the confirmation and click Yes, charge the balance. 4. The amount owed is taken from the wallet, or everything the wallet holds if that is less. The message shows what remains to pay, for example "Debited 78 from the balance, remaining to pay: 22". 5. Pay the rest by another method, or top up and click Pay from the balance again. Good to know - Your role decides what you see in Wallet. The account owner always sees the company balance, and chooses which other roles see it. Travellers see their card headroom instead. - Pay from the balance on the order page is offered while the wallet has money and the order has something left to pay. The money comes from the wallet of the company the order belongs to. - Tickets are issued and the booking is confirmed once the order is paid in full. After a partial payment, the order waits for the rest. - At checkout, paying from the balance covers the whole order. To use the balance for part of an order, pay from the order page after booking. - A payment from the balance is final and cannot be undone. - Crypto top-ups are always entered in USD, whatever currency your balance is kept in. A 1% processing fee is added on top, and your balance is credited with the amount you entered. If less than the full amount is received, the amount actually received is credited. Start a new top-up if the 60-minute payment page expires. - Refunds on split-paid orders. When your travel policy allows split payments, a traveller can cover an out-of-policy excess with a personal card while the company pays its share. If one service of such an order is cancelled and the rest stay booked: - only that service is refunded, split between the company and the employee in the same proportion as they paid for it; - the supplier's cancellation fee is deducted first and shared in the same proportion, so each payer gets back their share of what the supplier refunded; - the company's share returns to the company balance (if it paid by balance, card or an invoice already paid), or the unpaid invoice is reduced or voided; - the employee's share goes back to the personal card they paid with, processed by our accounting team; - each service is refunded once, and a non-refundable service or a no-show returns nothing. - On Approvals, each trip card shows under the total how the trip will be paid if approved now: Card, Balance, Invoice or Crypto. FAQ I paid from the balance. Why hasn't my ticket been issued? The balance covered only part of the order. Tickets are issued once the whole amount is paid. Pay the rest by another method or top up and pay from the balance again. Can I choose how much to take from the balance? The platform takes what is owed, or everything in the wallet if that is less. Why don't I see "Pay from the balance" on my order? The wallet is empty, the order is already paid, or the order is cancelled or waiting for cancellation. Why is my crypto top-up in USD when our balance is in EUR? Crypto top-ups are always priced in USD. I cancelled only the hotel from a split-paid trip. Why did I get back less than I paid? You receive your share of that one service, minus your share of the supplier's cancellation fee. Cashback on card spend

If cashback is enabled for your company, a percentage of your settled company-card purchases is paid back to your company balance. Where to find it Left sidebar → Expenses → Wallet. The balance card shows Available and Pending cashback. The TC cash history tab lists each Cashback and Cashback reversed entry. How cashback works 1. An employee pays with a company card. 2. Once the purchase is confirmed, its cashback shows as Pending. 3. When the charge settles, the cashback becomes Available and is credited to the company balance. 4. The account owner gets an email, "Your cashback has changed", with the amounts available now, earned in total and still pending, and an Open wallet button. Good to know - Cashback belongs to the company and is paid to the company balance. - The rate depends on your company's plan. - Cashback is earned on card spend from the date it is enabled for your company. - If a purchase is refunded or reversed, its cashback is taken back and shows as Cashback reversed. - Cashback is counted per currency. The Wallet card shows the amounts in the wallet's currency. - Cashback emails arrive at most once a day per currency. You can manage them in your notification settings under "Cashback earned or paid out". FAQ Why don't I see cashback in Wallet? Cashback appears once it is enabled for your company and a card purchase has been made. Contact your account manager to find out about the programme. Why is my cashback "Pending"? It becomes available once the card payment behind it settles. I got a refund. Where did my cashback go? Cashback on refunded or reversed purchases is taken back and listed as "Cashback reversed". How often will I get cashback emails? At most once a day per currency. Budgets: plan and track company spending

Budgets let you set aside an amount for a team, project or trip and follow how it is spent. A budget can be backed by a card account and a budget card, or simply tracked through the expenses your people enter. Where to find it Left sidebar → Expenses → Budgets. The page has two tabs, Budgets and Transactions. Budgets is part of Expenses for companies that use Travel Code company cards, and each person needs Budgets access (see below). How to create a budget 1. Click Create budget. 2. Budget info: enter the Budget name, choose the Budget owner (the person responsible for it), and optionally add Categories and Authorized users (the people allowed to charge to it). Set the Start date and Expiration date, then click Next step. 3. Allocate budget: choose where the money comes from in From account: - pick a card account: the currency comes from that account, and you can issue a Budget card; or - pick "No account — track this budget through expenses": choose the Currency yourself. 4. Enter the amount in I want to allocate. To size a travel budget, open Estimate from per diem and click Allocate this amount. 5. If you issue a new card, set its Card controls (where the card may be used). 6. Check everything on Review & create and click Create budget. How to charge an expense to a budget 1. Go to Expenses → Add expense. 2. In the Budget field, choose the budget. 3. Save the expense. Its amount is subtracted from the budget's Available figure. How to manage a budget Click a budget in the list to open its details: Budget info, Settings, Comments and Logs. You see Balance, Spent and Available, and how many days are left. As the budget owner you can: - Add funds; - Freeze or Unfreeze the budget; - in Settings, choose what happens After expiration (Freeze automatically or Do nothing), set Receipt required above, a Receipt submission deadline (no deadline, or within 7, 14 or 30 days), and a Balance notification threshold; - Delete budget. Authorised users can click Request balance change, and the owner is notified. How to give someone Budgets access 1. Go to Settings → People. 2. Open the employee and switch on Budgets access, or select several people and use Activate budgets. You can give access that you hold yourself. Good to know - A budget has one currency. Expenses are charged to it in that currency. - Spend is counted from two sources: budget card payments, and expenses entered by hand while they are pending, pending settlement or approved. Rejected or cancelled expenses stop counting. Hand-entered expenses are listed on the Expenses page. - If spending goes over the allocation, the budget shows "overspending" with the amount over. Expenses are still accepted. - The budget owner makes changes to the budget. Being a Director on its own is not enough to edit someone else's budget. - When the expiration date passes, the budget is marked Expired within an hour, and frozen too if After expiration is set to Freeze automatically. Active budgets accept expenses. - With a balance notification set, the owner is notified each time the balance drops below the threshold. - Statuses in the list: Active, Expired, Frozen. FAQ Do I need to issue a card to use a budget? No. Choose "No account — track this budget through expenses" when creating it. Spend then comes from expenses charged to the budget. Why can't I pick a budget when adding an expense? The budget's owner and its authorised users can charge to it. Ask the owner to add you under Authorized users. What happens if we spend more than the budget? The budget shows "overspending" with the amount over the allocation. Why can't I charge a EUR expense to our USD budget? A budget takes expenses in its own currency. Choose a budget in the expense's currency. I'm a Director. Why can't I edit this budget? Only the budget owner can edit it, add funds, freeze or delete it. Company cards: access, departments, history and charges

Company cards let your people pay for travel and expenses with cards the company controls. This article explains who sees which cards, how to review a card's history, and how to read the amounts on a transaction. Where to find it Left sidebar → Expenses → Cards (/app/cards). The full Cards page is open to people the company has given card access. Card access is switched on per person on People, separately from expenses access. Who sees which cards - Director, Accountant, Top manager and Travel manager see all of the company's cards and can Issue card. - Employees and Travellers see their own cards and use Request card, which goes for approval. - Department admins see the cards of people in their department and all its sub-departments, plus their own cards. The list narrows automatically once you assign people to departments and set department admins on the Departments page (Users & Groups). - The company owner always sees every company card. - Cards of employees who are not in any department stay visible to all department admins. To show department admins only their own department, ask support to turn on "Own department only". Assign people to departments first. How to see a card's history 1. Open Cards and click a card. 2. Go to the History tab. Each entry shows the date, what happened and who did it. Click "Show earlier" to load older entries. Automatic actions are shown as "System". Recorded events: Card issued, Card limit changed, Card locked, Card unlocked, Card terminated, Card details revealed, Card spending controls changed, Card renamed, Card request decided, Limit request decided. How to export card history 1. On the Cards page, pick the Export period in the toolbar. 2. Click Export history. 3. An Excel file (card-history-YYYY-MM-DD.xlsx) downloads with the columns Date, Event, What happened, Who and Card, covering every entry in the period. The export includes the cards you can see. How to read the amounts on a transaction Open a transaction from a card's Recent transactions, from Wallet or from Budgets. The main amount is always what your company is charged. Two extra rows may appear: - Authorised: the amount approved when the card was presented, shown when the final amount differs, for example after a tip, hotel incidentals or a fuel pre-authorisation. - Merchant charged: the amount in the merchant's own currency, shown when the merchant priced in a different currency. Good to know - Card history records decisions about the card. Purchases are on the transactions list. - A declined card request appears in the export with an empty Card column and the reason under "What happened". - Limit changes read "was X, became Y". - History recording started when the feature launched, so older cards may have an empty history for earlier actions. - Balance check when issuing a card: on the Issue card details step, if the chosen Card account doesn't cover the limit right now, a yellow FYI box tells you. The card is still created, and its payments go through once the account is topped up. The same applies when raising a card's limit. People who can see account balances see this note. - Cards that pay a supplier for a booked service need the full amount in the account when they are issued. FAQ Can I see who viewed a card number? Yes. The History tab shows "Card details revealed" with the person's name. I issued a card but its payments are declined. What now? The card account didn't have enough funds. Top up the account and the card works, no need to reissue it. Why was I charged more than the amount approved at the restaurant? The merchant settled a larger amount, for example with a tip. Compare Authorised with the charged amount at the top. Why are there two amounts in different currencies? The merchant priced in its own currency (Merchant charged). Your company is charged the converted amount shown at the top. I'm a department admin. Why do I see cards of people outside my department? Those people aren't assigned to any department yet. Assign them, or ask support to turn on "Own department only". My history export only has headers. Nothing was recorded in that period. Choose a wider Export period. Cost centers: charge every trip and expense to the right budget line

A cost center is the line in your accounting that pays for a trip or an expense, for example "Sales Europe", "R&D" or "Project Alpha". Some companies call it a cost object, a cost code or a budget code. You set up your company's cost centers once in Travel Code. After that: - every new trip and every new expense is charged to a cost center automatically; - the cost center is saved on the order and the expense at the moment they are created; - your accounting team receives the cost center name and its code in the order registry export. How the right cost center is chosen Each employee has a default cost center, found in this order: 1. The employee's own cost center, if one is set for that person. 2. Otherwise, the cost center of their department. 3. If their department has none, the cost center of the parent department, and so on up the department tree. So you usually only need to assign cost centers to departments. Set a personal cost center only for people who are charged differently from the rest of their department. What happens to past trips when something changes The cost center is saved on each order and expense when it is created. If you later move an employee to another department, or change a department's cost center, past orders and expenses keep the cost center they were charged to. Only new trips and expenses use the new one, so your past reports and exports stay unchanged. Where you see the cost center - When booking: in the cart, in the Cost center card. - On the order page: in the payment and finances section. - On an expense: in the Cost center field. - In exports: the order registry in Excel has Cost center and Cost center code columns. FAQ What is a cost center? It is the line in your accounting that pays for a trip or expense, for example a department, a team, a project or a client. In Travel Code each order and each expense is charged to one cost center, so your finance team can see who spent what without sorting it by hand. Is a cost center the same as a cost object or a budget code? Yes. Companies use different names for it: cost center, cost centre, cost object, cost code, budget code. In Travel Code it is called a cost center. Do I have to set a cost center for every employee? No. Assign cost centers to departments, and every employee in a department is charged there automatically. Set a personal cost center only for people who are charged differently from their department. A department has no cost center. Which one is used? The cost center of its parent department, and so on up the department tree. I moved an employee to another department. Will their past trips move too? No. Each order and expense keeps the cost center it was charged to when it was created. Only new trips and expenses use the new one, so your past reports don't change. Where does our accountant see the cost center? In the order registry export in Excel, in the Cost center and Cost center code columns. The code is the ERP code you entered, so it matches your accounting system. How to set up cost centers

The Director and the Accountant set up the company's cost centers. The Travel manager can see the list. Where to find it Click your avatar → Settings → Users & Groups → Cost centers (/app/cost-centers). How to add a cost center 1. Click Add cost center. 2. Fill in: - Name: the name everyone in the company will see, for example "Sales Europe". - ERP code (optional): the code from your accounting or ERP system. It appears in exports and reports, so your accountant can match the costs without retyping them. - Description (optional). - Owner (optional): the person accountable for this spend. - Departments: everyone in these departments is charged to this cost center by default. This includes their sub-departments that have no cost center of their own. - Employees: people who are charged here even though their department uses another cost center. This overrides the department's cost center for these people only. 3. Click Save. Names and codes must be unique within your company. Capital letters do not matter, so "Sales" and "sales" count as the same name. How to change a cost center Click the cost center in the list, change the fields and click Save. The change applies to new trips and expenses. Orders and expenses already charged to it are not affected. How to stop using a cost center Cost centers are never deleted, because past orders and expenses still refer to them. Instead: - Click Archive. New trips and expenses can no longer be charged to it. Past orders and expenses keep it, and it stays in your reports and exports. - To bring it back, set the Status filter to Archived, find the cost center and click Restore. How to find a cost center Use Filters at the top of the list. You can search by Name or code, and filter by Department and Status (Active or Archived). How to set it from the department or employee card - Settings → Users & Groups → Departments: open a department and choose its Cost center. - Settings → Users & Groups → People: open an employee and choose their personal Cost center. If you leave it as From department, the employee follows their department. FAQ Who can create and edit cost centers? The company Director and Accountant. Everyone else sees the cost centers and picks them when booking or adding an expense. Can I delete a cost center? No, because past orders and expenses still refer to it. Archive it instead. It disappears from the list of choices for new trips and expenses, but stays in past orders and reports. You can Restore it any time. I don't see the Cost centers page. It is open to the company Director, Travel manager and Accountant. Only the Director and Accountant can add or edit cost centers, so ask one of them to make the change for you. How to import cost centers from a file

If you already have a list of cost centers in your accounting system, a spreadsheet or a PDF, you don't have to type them in one by one. Upload the file and Travel Code creates them for you. Where to find it Click your avatar → Settings → Users & Groups → Cost centers (/app/cost-centers) → Import from file. Which files work - Excel or CSV, with your own column names. Columns such as "Name", "Cost center", "Code", "ERP code", "GL code", "Owner" or "Department" are recognised automatically, in English or in Russian. - PDF, a photo or a scan (PNG, JPG, WEBP), for example a page from your chart of accounts. Robert, our AI assistant, reads these files and finds the cost centers in them. Scans and long PDFs can take up to a minute. Starting from scratch? Click Download template. The template has one row per cost center with these columns: name, code, description, owner_email, departments, employee_emails. To list several departments or emails in one cell, separate them with semicolons. How to import 1. On the Cost centers page, click Import from file. 2. Drop the file into the window, or click to choose it. 3. Check the preview. Nothing is saved yet. For each row you see: - Create: a new cost center, or Update: an existing one with the same name or code; - Will change: what will change on an existing cost center, for example a new code. Check these rows carefully, because a new code changes what your accountant receives; - which departments and people were matched, and which were not found (No such department); - Robert's notes: anything Robert was unsure about when reading a PDF or scan. 4. Fix or remove rows if needed (Remove row). Turn on Create missing departments if the departments in the file don't exist in Travel Code yet. 5. Click Import. If some rows are not accepted, they are marked in red. Fix them and try again. The import is saved all at once, so a failed import changes nothing. FAQ We already have our cost centers in Excel or in our ERP. Do we have to type them in? No. Click Import from file and upload the Excel, CSV or PDF file, or a photo of the page. You check a preview before anything is saved. Our file has its own column names. Will the import work? Yes. Common column names in English and Russian are recognised automatically. If they are not, Robert reads the file and maps the columns for you. You check the result in the preview. Can I import from a PDF or a scan? Yes. Robert, our AI assistant, reads PDFs, photos and scans. It can take up to a minute. Always check the preview, especially the rows Robert marked in Robert's notes. What happens if a cost center in the file already exists? It is updated instead of duplicated. The preview marks it as Update and shows exactly what will change under Will change, for example a new code. The departments in my file don't exist in Travel Code yet. Turn on Create missing departments before you click Import. Expense reports: what they are and how they move

An expense report collects everything a business trip cost into one document. The employee checks it and submits it, an approver approves it or sends it back, and finance exports it to accounting. Where to find it Left sidebar → Expenses → Expense reports (/app/expense-reports). What a report contains - Bookings paid by the company: flights, trains, buses, hotels and cars booked on the platform, plus bookings made elsewhere that the company paid for. - Expenses: company card transactions and out-of-pocket expenses. - Per diem: the official daily allowance, calculated day by day from the trip. Report statuses | Status | What it means | |---|---| | Draft | Being prepared. Only the employee (or someone acting for them) sees and edits it. | | Submitted | Waiting for the approver. | | Sent back | The approver returned it with a comment. Fix it and submit again. | | Approved | Approved. The PDF is filed to the trip's order documents. | | Exported | Taken into accounting (CSV or DATEV export). | | Closed | Settled. Closes automatically some time after export. | How a report moves 1. A draft appears after the trip, or you create one from the order or by hand. Creating an expense report: after a trip, from an order or by hand

Most reports create themselves when a trip ends. You can also start one from an order, or by hand for expenses that are not tied to a trip. Where to find it - Left sidebar → Expenses → Expense reports (/app/expense-reports). - On an order: the Documents card. Three ways to create a report 1. Automatically after a trip. When a trip booked on the platform ends, a draft report is created for the traveller. It already contains the bookings, the per diem and the matching card transactions. 2. From the order. Open the order and click Create expense report in its Documents card. 3. By hand. On the Expense reports page, click New expense report. Choose From a trip, or create a report without a trip, for example "Client lunches, October". How to add a trip to a report later If a report was created without a trip, add the trip from the report: - Link a trip from the platform shows the employee's booked trips that have no report yet. Pick one, and its bookings and per diem are added to the report. - Add a booking made elsewhere records a company-paid booking that was not made on the platform (a hotel, a flight and so on) and attaches it under Bookings · paid by the company. A booking added by hand can be removed again with Remove this booking. Good to know - The automatic report goes to the person who travelled, not the person who booked. A travel manager who books for a colleague does not get the colleague's report. - Per diem is calculated from a trip booked on the platform. A report without a linked trip has no per diem until you link one. FAQ Do I have to create an expense report myself after every trip? No. When a trip booked in Travel Code ends, a draft report is created for you with the bookings, per diem and card transactions already in it. Check it, add what's missing and submit it. The report was created without a trip, so per diem is empty. Per diem is calculated from a trip booked on the platform. Use Link a trip from the platform on the report. A hotel booked outside the platform is missing from the report. Use Add a booking made elsewhere on the report. I booked a trip for a colleague. Why didn't I get the expense report? The report goes to the traveller. Directors, travel managers and accountants can still open it and file it for the colleague. See Expense reports: who can see and file them. Card transactions in an expense report

Company card transactions come in from the bank with their facts already filled in: merchant, amount, date, card (•••• last 4 digits) and country. The employee only adds what the bank cannot know. Where to find it - In a report, in Expenses → Expense reports. - On the Expenses list and in each expense's details. What the employee can add The bank's facts cannot be edited, because they are what the bank charged. The employee adds: - the category; - a description; - the receipt; - a tax ID; - line items, for example to split a bill. How transactions get into a report - A report includes the card transactions that match the trip automatically. - To add others, click Assign card transactions. It shows the employee's card spend that is not in any report yet, from two weeks before to two weeks after the trip. - Robert may also suggest a report for a transaction: Add to the report. "Needs receipt" and "Needs details" On the Expenses list and in the expense details, a transaction can be marked: - Needs receipt: your expense policy requires a receipt for this expense, and none is attached. - Needs details: required information is missing. You can filter the list by these labels. Marked transactions are never auto-approved: they stay with the approver until the receipt or details are added. Where the receipt rules are set Expense Policy → spend categories → the Receipt column and the receipt threshold. A receipt can be required above an amount, or always for a category, in any currency. When no receipt is required, the expense shows a quiet line: "No receipt attached — the policy doesn't ask for one here". You can still add a receipt. FAQ An employee cannot change the amount or date of a card transaction. That is by design: those facts come from the bank. The employee can change the category and description, add a receipt, or split the transaction into line items. A card transaction is stuck as "Needs receipt" and is not auto-approved. Attach the receipt in the expense details, or adjust the receipt rule in Expense Policy → spend categories if the rule is wrong. A card transaction is missing from my report. Click Assign card transactions in the report. You see your card spending that is not in any report yet, from two weeks before to two weeks after the trip. Which card transactions are added to a report automatically? The ones that match the trip. Use Assign card transactions for the rest of your spend from two weeks before to two weeks after the trip. Submitting and approving an expense report

When the report is ready, the employee submits it and the approver decides. After approval, the report's PDF is filed with the trip's order. Where to find it - Employee: the report in Expenses → Expense reports. - Approver: Approvals. How to submit a report (employee) 1. Check the bookings, card transactions and per diem. 2. Add any missing receipts and details. 3. Click Submit. The report goes to the approver. How to decide on a report (approver) 1. Open the report from Approvals. 2. Choose one of three actions: - Approve; - Send back to the employee with a comment, which makes the report editable again for the employee; - Discuss, a conversation about the report before you decide. 3. If your company proposes card-paid meals to the approver, decide meal by meal: deduct or keep the allowance. When the employee asked to keep it, their reason is shown. Good to know - When a report is approved, its PDF is filed to the trip's order, in the Documents card. - Card transactions marked Needs receipt or Needs details are never auto-approved. They wait for the approver until the receipt or details are added. FAQ What does "Discuss" do? It opens a conversation about the report without deciding yet. The approver sent my report back. Can I still edit it? Yes. A report sent back to the employee is editable again. Fix it and submit it again. Where is the approved report kept? Its PDF is filed in the Documents card of the trip's order, and the report stays in Expenses → Expense reports. Per diem: daily allowances and the per diem calculator

Per diem gives your travellers official daily allowances for business trips. Directors, Accountants and Top managers choose how the rates apply, can upload the company's own rate table, and employees use a calculator to fill in the amount of an expense. Where to find it - Settings: user menu → Settings → Expense management → Expense Policy → Per diem tab. - Calculator: Expenses → Add expense → Estimate from per diem. It also appears when you allocate a budget. How to set up per diem 1. Open the Per diem tab. It has four sub-tabs: Settings, Your policy, Rates and Presence. 2. In Settings, check your rate source (it is based on your company's country) and choose: - Prorate first & last travel day; - Pay a percentage of the official rate; - Show converted amount. Then save. 3. Optionally, in Your policy, upload your own per diem policy (PDF, image, spreadsheet or text; export Word files to PDF first). Robert reads it and lists the rates by country, city and traveller tier. Review the rows, edit or add rows by hand, and click Confirm & activate. You can also switch on different rates by traveller tier, for example for Executive travellers. 4. In Rates, search for a destination to see its daily rate, source and effective date, and use Use official government rates to decide whether official rates stay on. How to use the calculator (employees) 1. Go to Expenses → Add expense. 2. Next to the amount, open Estimate from per diem. 3. Choose the destination country and city, the trip start and end dates, and the number of travellers. 4. Check the breakdown, for example "5 days for 1 — 3 full at …, 2 travel at …". 5. Click Use as the amount. The amount is filled in, and the calculation is saved as a comment on the expense. Good to know - Official rates by company country: - US: GSA rates for trips in the US, Department of Defense rates for US territories, State Department rates abroad; - UK: HMRC; - Germany: BMF; - France: official mission rates (arrêté du 3 juillet 2006). Companies based elsewhere can upload their own policy on Your policy. - Travel days: in the US and UK the first and last day pay 75% of meals, Germany uses its partial-day rate, and in France lodging, lunch and dinner are paid by time slot at the destination (lunch if the traveller is there for the whole of 12:00–14:00, dinner for the whole of 19:00–21:00). A same-day trip includes no lodging. - Pay a percentage of the official rate scales the amount you pay. The official figures themselves stay as published. - Rates are shown in the currency they are published in. When your expense or budget is in the same currency, one click fills in the amount. When it differs, the calculator shows the rate and you enter the amount yourself. - An uploaded policy starts to apply when you click Confirm & activate. Earlier versions are kept for your records. - If a destination has no official rate, enter the amount yourself or add it to your own policy. FAQ Our company isn't in the US, UK, Germany or France. Can we use per diem? Yes. Upload your own rate table on the Your policy tab. Why won't the calculator fill in the amount? The rate is published in a different currency from your expense. Per diem is never converted, so enter the amount yourself. Why is the first and last day lower? Travel days are prorated under the official rules, for example 75% of meals in the US and UK. Proration can be switched off in the Per diem settings. Can we pay less than the government rate? Yes. In Settings, use Pay a percentage of the official rate. Can Travel managers change the per diem settings? Per diem settings are managed by the Director, Accountant and Top manager. Per diem in an expense report: how each day is calculated

The Per diem · calculated from the bookings block works out the daily allowance for every day of the trip. It uses the trip's flights, trains, buses and hotels to see where the traveller was on each day and at what times. Where to find it Open a report in Expenses → Expense reports → the Per diem · calculated from the bookings block. Click How it's calculated for the day table. Which rate table is used The table depends on your company's country: | Company country | Rate source | |---|---| | United States | GSA (domestic), State Department (abroad), Department of Defense (US territories) | | United Kingdom | HMRC | | Germany | BMF (Bundesministerium der Finanzen) | | France | Official mission rates (arrêté du 3 juillet 2006) | For companies in other countries, per diem in expense reports is not available yet. The report says so, and everything else in it works. What the day table shows - Each day is a full day, an arrival day, a departure day or a day trip, with the rate that applies. - Rates are converted into the company currency at each day's exchange rate. - Meals included in the booking, for example breakfast in the hotel rate, are deducted automatically where the rules require it. - Meals paid with the company card (a restaurant transaction on the trip) appear as Card: {merchant} {amount} — {meal}. Depending on your per diem settings, the meal is deducted, kept, or proposed to the approver. - Lodging: if the company booked and paid for the hotel, the lodging allowance is not paid out a second time ("lodging covered by the booked hotel"). - Tax-free per diem and the taxable part are shown separately where the country's rules split them, as in Germany. When no rate applies, the report says so: "No per-diem rate applies to this trip (destination or dates outside the rate tables)". For example, the destination has no published rate. Germany: the three-month rule When an employee works at the same place for more than three months, German rules stop the tax-free meal allowance from month four. A break of four weeks or more restarts the count. - In the report, days over the limit are labelled 3 months: meals taxable. - Before the trip, the order page and the approver's trip card warn in advance: 3 months ending soon or 3 months exceeded. - The count includes every trip to that place: earlier expense reports, booked trips and days added by hand on the Presence tab. See Presence: counting days spent outside the platform. France: long assignments For a long assignment at the same place, the exempt allowance drops to 85% from month four and to 70% from month 25, and stops after month 60. Returning to the same place after more than three months away counts as a new assignment. France: travel days On arrival and departure days, lodging, lunch and dinner are paid by time slot at the destination: - lodging for the night; - lunch if the traveller is there for the whole of 12:00–14:00; - dinner if the traveller is there for the whole of 19:00–21:00. FAQ The report says "No per-diem rate applies to this trip". Either your company's country is not the US, the UK, Germany or France, or the destination or dates fall outside the published tables. Check the company country in the company profile. Why was a meal deducted from my per diem? Either the meal was included in a booking, such as breakfast in the hotel rate, or you paid for it with the company card and your company deducts card meals. Click How it's calculated to see each deduction. Why is there no lodging allowance? The company booked and paid for the hotel, so lodging is already covered. The German three-month warning is wrong because the employee was elsewhere in between. Ask your Director or Accountant to add the missing days, or the trip booked elsewhere, on Per diem → Presence. Open reports are re-checked immediately. Per Diem: What It Is and Where the Rates Come From

A per diem is a fixed amount for each day of a business trip, instead of collecting receipts for food and lodging. The employee receives it simply for having travelled, and the company relies on the official rates published by governments. Trips become predictable in cost, and finance doesn't have to sort through restaurant receipts. The section lives in Expense Policy → Per diem. Where the rates come from Rates are never invented or typed in by hand — the platform stores the official tables: | Your company's country | Rate source | |---|---| | United States | GSA (domestic), State Department (foreign), Department of Defense (territories) | | United Kingdom | HMRC | | Germany | BMF | | France | official mission rates (arrêté du 3 juillet 2006) | The source is selected automatically from the country your company is registered in — there is nothing to pick manually. If your company is registered elsewhere, no official rates exist for it yet: the section says so, and you can set up your own table. The database holds over 2,600 rates across cities and countries. Why a rate is shown in a foreign currency Every rate is stored in its source's currency — the French one in euros, the Japanese one in yen — and is never converted automatically. What gets paid is exactly the amount the government published, and exchange rates move daily: automatic conversion would put a figure in your reports that appears in no official document. Settings can display an approximate equivalent in your company currency next to it as a reference point, but the original rate stays authoritative. What makes up the daily amount Depending on the source, a rate may be split into lodging and meals separately, be a single amount, or include a partial-day rate for departure and return days. On a single-day trip there is no overnight stay, so only meals are paid — the share that applies to a travel day. Lodging is not accrued: you can't pay for a hotel nobody slept in. Per diem settings: calculation, payout and accounting

The Settings tab under Per diem decides how your company calculates per diem, how it is paid out, what happens to meals paid with the company card, and how per diem is posted to accounting. Where to find it Click your avatar → Settings → Expense management → Expense Policy → Per diem → Settings. Rates and your own policy are on the Rates and Your policy tabs, and days spent outside the platform on Presence. How the amount is calculated - Your rate source is shown automatically from your company's country. - We pay: either the official rate, or Pay a percentage of the official rate, for example 80%. The official figures don't change; the percentage is applied during calculation. - Prorate first & last travel day: on departure and return days the employee travels for part of the day, so meals are paid partially, for example 75% in the US and the UK and the partial-day rate in Germany. It is on by default, because paying the full amount can make the difference taxable for the employee. - Show converted amount: an approximate equivalent in your company currency next to the original rate. It is a reading aid only. How per diem is paid out - Reimburse: the whole allowance comes back with the next reimbursement. - Trip card: the allowance is loaded onto the trip card for meals, and nothing is reimbursed. - Trip card + remainder: meals are paid by card, and what is left of the allowance is reimbursed. Meals paid with the company card - Deduct automatically. - Don't deduct. - Propose to the approver: the day shows what the meal would deduct, and the approver decides. Germany: flat 25% tax and DATEV - Top up at a flat 25 % tax (Germany): the part of the allowance above the tax-free amount is taxed at a flat 25%, paid by the company, instead of going through payroll as income. - Accounting / DATEV export: the client and consultant numbers, the account length, the fiscal-year start, the accounts for tax-free per diem, the taxable part, the flat 25% part, amounts owed to employees, trip-card clearing, flat-tax expense and flat-tax payable, and the church tax %. These are needed for the DATEV export. See Exporting expense reports to accounting: CSV and DATEV. Who can change the settings The Director, Top manager and Accountant. Other employees don't see this tab, but they can use the official rates reference to look up the allowance for a city. FAQ How do we pay per diem on a trip card? Choose Trip card under how per diem is paid out. To pay meals by card and reimburse the rest, choose Trip card + remainder. Should card-paid meals reduce the per diem? You decide: Deduct automatically, Don't deduct, or Propose to the approver, who decides meal by meal. What is the flat 25% tax option? In Germany, the part of the allowance above the tax-free amount is taxed at a flat 25%, paid by the company, instead of being taxed through payroll. Can we pay less than the official rate? Yes. Use Pay a percentage of the official rate. Presence: counting days spent outside the platform

Germany's three-month rule and France's long-assignment cut count every day an employee spends at one place. Trips booked on the platform are counted automatically. Days the platform never saw, such as a trip booked elsewhere or site visits by car, are added on the Presence tab. Where to find it Click your avatar → Settings → Expense management → Expense Policy → Per diem → Presence. How to add days 1. Pick the employee. 2. Choose the country, the city and the first and last day. Optionally add a note, for example "site visits by car". 3. Click Add. What the table shows Every period per place, with its source: Expense report, Booked trip or Added by hand. It also shows the three-month status: - Counting since … - Ends within two weeks - Over three months Good to know - Days are added here by your Director or Accountant. If a warning looks wrong, ask one of them. - When days are added or removed, the employee's open reports are re-checked at once. - Only days added by hand can be deleted here. - A nightly check also re-runs the rules on existing reports: - draft reports are recalculated in full; - submitted and approved reports are updated only if the payout amount does not change; - exported and closed reports are never touched. FAQ The three-month warning is wrong because the employee was elsewhere in between. Add the missing days, or the trip booked elsewhere, here on Presence. Open reports are re-checked immediately. Why can't I delete a period? Only days added by hand can be deleted. Periods that come from expense reports and booked trips are counted from those records. Will adding days change a report that is already approved? Only if the payout amount stays the same. Exported and closed reports never change. Per Diem: Your Own Rate Table

If no official table exists for your country, or your allowances differ from the government ones, the Your policy tab lets you maintain your own rates. Two ways to do it. 1. Upload a document (Robert AI) Click "Upload policy (Robert AI)" and attach your policy. Robert reads the document and extracts the rates by country, city and traveller tier. You then review and confirm each row: nothing is saved until you confirm. Robert only extracts the numbers from the document — it does not convert, recalculate or infer anything. Rows it is unsure about, or that don't fit the usual shape (for example "80% of the GSA rate"), are flagged and moved to the top of the list so you look at them first. If Robert misread something, fix the rows right in the review table before confirming. If the document was recognised badly, enter the rates manually — the result is the same. Formats and limits - PDF - Images: PNG, JPG, WEBP, GIF - Excel spreadsheets - Text files: TXT, CSV, Markdown, JSON - Size — up to 25 MB Word documents cannot be read directly — save them as PDF. 2. Enter the rates manually Click "Enter rates" and fill in the table yourself. Versions and history Every save creates a new version. The previous one is not deleted, it is marked as outdated. Deleting a policy deactivates it — the history is kept. That way, a year later you can answer a tax authority's question about which rate the company paid in a specific month. The history keeps the date and the name of whoever confirmed the rates. Per Diem in Trip Budgets and Expenses

Per diem is used beyond the Expense Policy → Per diem section, in two everyday flows. When creating a trip budget On the Allocate budget step, pick the destination country and city — the platform calculates the amount from the dates and the number of participants you entered on the first step, and shows the breakdown: how many full days, how many departure/return days, at which rate. One click and the amount is filled into the budget. If the amount was not filled in even though the breakdown is shown, the budget currency doesn't match the rate currency. The budget currency comes from its card account (or is chosen when a budget is created without an account) and doesn't change, and the platform will not convert the per diem: what is paid is the amount the government published. The call on the final figure is yours. When adding an expense The expense form offers the same calculation: enter the destination, the trip dates and the number of employees. When you accept the amount, a line is added to the expense thread explaining where it came from — which destination, how many days and people, and which table was used. An expense without a receipt must always account for its own amount. Airline Credits: What They Are and How the Page Works

When a ticket is cancelled or changed, the airline usually keeps its value as a credit for a future flight on the same carrier (a flight credit, travel credit, e-credit or voucher, depending on the airline). Credits have a deadline — typically one year from the original ticket date — and are the most commonly lost travel money. Airline credits is where Travel Code keeps those credits for your company and makes sure they are used before they expire. Open it from the user menu → Airline credits. What a credit card shows - airline and remaining value; - status — Active, Expires in N days (30 days or less), Expired, Used; - who may use it — locked to a named passenger (most airlines) or any traveller of the company (when the carrier allows a name change); - the original ticket number and a note (for example "Cancelled ORD–SFO, waiver code …"). Where credits come from Credits are added by hand on this page with Add credit — for example after a non-refundable ticket booked on Travel Code is cancelled or changed, or for credits the company already holds or received elsewhere. Enter the airline code, the remaining value and its currency (USD, EUR, GBP or AED) and the carrier's expiry date. Paying for a Ticket with an Airline Credit

Before you search A banner under the greeting lists your active credits — $415.75 Copa, expires Dec 12 — with a Search → button that preselects that airline in the filter. In the results Under any fare on an airline where the company holds an active credit: Buy for $415.75 use $415.75 Copa credit · expires Dec 12 Click it to see every matching credit, who may use it and its expiry. How the credit is applied Choose the fare as usual. The credit is applied when the new ticket is issued: the airline reprices the original ticket against the new one, the credit covers as much of the fare as its value allows, and only the difference (plus any change fee the fare rules require) is charged to the company. If the new fare is cheaper than the credit, the remaining value stays with the airline as a new credit — add it on the credits page with its own expiry. Once a credit has been applied, an editor marks it Used on the credits page (Mark as used). Credit or points — which one applies | | Miles & Points | Airline credits | |---|---|---| | What it is | Loyalty balances (airline, hotel, bank) | Unused-ticket value held with an airline | | Expires? | Rarely | Always — that is why credits come first | | Where it shows | Under every cash fare, as a points price | Under fares on that airline, as money | | Who applies it | Travel manager, in the programme account (company or traveller) | Airline, at ticketing, via the travel manager | | Priority in search | Shown when no credit matches | Shown first when a credit matches | You never have to choose between them: search shows the best way to pay for that fare — a credit if one exists, points if they cover it, cash otherwise. Miles & Points: see award prices next to cash fares

Miles & Points keeps your company's and your own loyalty balances in one wallet. When you search flights, it shows next to each cash fare how many points the same flights would cost, and whether you have enough. Where to find it User menu (your name at the bottom of the sidebar) → Miles & Points (/app/miles-points). Miles & Points is available by invitation, per user. If it isn't switched on for you yet, the page shows a Preview with screenshots and Request a demo. Book a short call and we will switch it on and set up your first balances with you. How the wallet works The wallet has two tabs: - Company: the company's balances, such as corporate cards and company airline or hotel accounts. Anyone travelling for the company can be booked with them. The Director edits these. - My points: your own balances. They are used for your own trips only. Each balance shows the programme, its points, the date it was last updated, and a badge: - Award search: award prices for this programme are shown in search; - Balance only: the balance is tracked; - Transfers to partners: bank points you can transfer to airline programmes. How to add a balance 1. Click Add balance. 2. Under Whose points are these?, choose Company or My points. 3. Pick the Program. Programmes are grouped into transferable (bank) points, airlines and hotels. 4. Enter the Points. 5. Optionally add a Label, for example "Amex Business Platinum". 6. Click Add balance. You see "Balance saved". Balances are entered by hand, and only the balance is stored, never account passwords. To update one, edit its points or label. To delete it, click remove. How to see award prices in flight search 1. Search flights as usual (one-way or return). 2. Under the buy button of each fare, a line appears, for example "or 57,500 + $86", with a verdict: - you have enough (green); - transfer N from (amber); - N short. 3. Award prices arrive after the cash results and can take one to two minutes. "Checking award price" shows while they load. 4. Click the line to open Award price. You see each programme and cabin, the award seats left, and the funding plan: how many points come from company balances, from your own, and from a transfer. 5. To see only flights with an award price, use the Miles & Points filter → "Only flights with a price in miles". 6. If you want to book with points, your travel manager books the award in the programme account, with your consent. Good to know - Award prices are matched to the exact same flights, by flight number on every leg. - If the listed flights have no award seats in your cabin, a note may point to other flights on the route that do. - The funding plan uses company balances first, then your own points, then one transfer from bank points to cover the rest, preferring instant transfers. - Award prices also appear on the fare-selection step of a flight booking. - When the company holds an airline credit for a fare, the credit is shown on the fare card in place of the award price. - Everyone with access can manage their own My points. FAQ How do I get access to Miles & Points? It is available by invitation. Open Miles & Points and click Request a demo to book a short call. Why can't I change the company balances? Company balances are edited by the Director. You can still add your own points under My points. Are my balances synced with my loyalty accounts? Balances are entered by hand. Update them when your balance changes. Why don't I see an award price on some fares? Award prices are shown only when the same flights are available as an award. Other fares show the cash price only. Can I book an award ticket in Travel Code? Your travel manager books the award in the programme account, with your consent. Miles & Points: Your Company Loyalty Wallet

Miles & Points is your company's loyalty wallet. It keeps the balances your company and your travellers hold in airline, hotel and bank reward programs, and uses them to show — right next to every cash fare — what the same trip costs in points and whether you can already afford it. Open it from the user menu (bottom-left avatar) → Miles & Points. Two tabs - Company — programs the company holds: corporate card points (American Express Membership Rewards, Chase Ultimate Rewards, Citi ThankYou, Capital One, Bilt), corporate airline and hotel accounts. The Director adds and edits these balances. - My points — the traveller's own programs. Every traveller manages their own tab. What a program card shows The balance, when it was last updated, and what the program can do: - Award search — we can look up award availability in this program and show its prices in flight search. - Transfers to partners — a bank currency that can be moved into airline or hotel programs (for example, Amex Membership Rewards → Avianca LifeMiles, instant, 1:1). - Balance only — we track the balance, but the program does not expose award prices yet. Adding a balance Click Add balance, pick the program, enter the points and an optional label ("Amex Business Platinum"). Only the balance is stored — never account passwords. Balances can be edited or removed at any time. Balances are entered by hand and are not synced with your loyalty accounts — update the points when your balance changes. Who can do what | Action | Traveller | Company admin / travel manager | |---|---|---| | See award prices in search | ✓ | ✓ | | Manage My points | ✓ | ✓ (own) | | Manage Company balances | — | ✓ (Director only) | | Request an award booking | ✓ | ✓ | Preview and access Miles & Points is rolling out by invitation. If the feature is not switched on for your account yet, the page shows a preview of the three screens and a Request a demo button that books a call with Travel Code. Your Travel Code manager enables the feature per user. Award Prices in Flight Search

Search flights as usual. Under every cash fare, Travel Code shows the same flights priced in points: Buy for $415.75 or 45,590 LifeMiles + $43 transfer 16,000 from Amex Business Platinum What the line answers 1. Which program prices these exact flights — matched by flight number, never "a similar flight". 2. How many points and how much in taxes. 3. Whether you can pay for it today: - green — the balance already covers it; - amber — a transfer from a bank program closes the gap; - grey — not enough points and no transfer route. What the details show - the price per cabin for these flights (Economy, Business; mixed cabins are labelled Business + Economy), with your cabin marked; - the funding plan — for example 30,000 from the company LifeMiles balance + 16,000 via transfer from Amex Business Platinum (instant); - award seats left in each cabin. Why award prices appear a moment later Award data arrives a little after the cash results — it can take one to two minutes ("Checking award price" shows meanwhile). Cash prices come first, then the points lines fill in underneath. Why some fares have no award line Award seats are released per flight and cabin by each airline. If none of the searched programs has an award on those exact flights, the line is not shown. Try another date or a nearby flight. If the company holds an active credit with that airline, the fare shows the credit instead of the points price — the credit is the money that expires first.
