Agency Dashboard: your control centre as a partner travel agency

The Agency Dashboard is where you, as a partner travel agency (TMC), run the service side of your own storefront: the orders your clients book, who is travelling right now, every change to those bookings, and the tasks your team needs to handle. Everything in the Agency Dashboard shows the bookings made on your storefront. Where to find it Main menu → Agency Dashboard. Your TMC admin account is set up by Travel Code. What each menu entry is for 1. Orders (/app/orders-list) — the full registry of orders booked on your storefront, with amounts, payments and deadlines. Open any order to see its card. 2. Travel operations (/app/travel-ops) — a live board of who is travelling right now and at what stage, with live flight status for VIP travellers, disruptions and risk alerts. 3. Work queue (/app/work-queue) — the tasks your team needs to handle: ticketing deadlines, payment problems, flight disruptions and your own follow-ups. 4. Activity feed (/app/activity-feed) — a journal of every change to your storefront's bookings: new orders, status changes, payments, service and traveller edits, and who made each change. 5. Agency Reports (/reports-agency) — financial and operational reports on your storefront's orders. Good to know - An order belongs to your storefront when it is booked on your storefront's site. That is what decides whether it appears in your Agency Dashboard. - The breadcrumb at the top shows where you are, for example Agency Dashboard / Travel operations. - Alongside the Agency Dashboard you also have the Analytics section (if your company has the Analytics module) and your company settings. Both are described in separate articles. FAQ Which orders do I see? All orders booked on your storefront's site, whoever the buyer is. Who creates my TMC admin account? Travel Code sets it up for you. Where do I start each morning? Start with Travel operations to see who is on the move and whether anything is disrupted. Then go to Work queue for the tasks due today. Is there a single place to see what changed overnight? Yes. Open Activity feed. It opens on the last 48 hours of changes. How to find an order 1. Open Agency Dashboard → Orders. 2. Open Filters and set what you need, for example: - Order #, Traveler (last name), Hotel, Booking ref (PNR or ticket number); - Status, Payment, Service type, Trip type (including Personal trip), User type, Currency, Country; - Buyer (people who booked on your storefront), Manager (your own admins), Partner; - Order date from/to, Trip start, Trip end; - Non-refundable only; - Totals over all pages, to add up the amounts across the whole result, not just the page you are on. 3. Click Show results. Use Reset all to start again. 4. Click the order row to open the order card. What the columns show Order #, Order date, Order status, Buyer, Agent, Manager, Country, Trip start, Trip end, Final amount, Paid, Amount due, Net amount, Partner paid, To pay, Payment deadline, Planned profit. Below it are the tabs: - Services — what was booked; - Travellers — who is travelling; - Documents & history — the order's documents and history; - Cash — the money side of the order; - Comments — comments on the order; - Log — the technical history of changes. For your storefront's orders the card also shows net, cost and profit. How to set payment by instalments 1. Open the order card. 2. Under General information, find Payment by instalments. 3. Add a line with Add an instalment and fill in the share (%), the amount and the due date. 4. Click Save. FAQ Why can't I find an order a client says they booked? Check that it was booked on your storefront's site. Then search by Booking ref (PNR or ticket number) or by the traveller's last name. How do I see the total owed across all orders, not just one page? Tick Totals over all pages in Filters. Can I split an order's payment into several dates? Yes. Use Payment by instalments on the order card. What is the difference between Final amount and Net amount? Final amount is what the client pays. Net amount is the supplier cost, and the difference feeds into Planned profit. Travel operations: who is travelling right now

Travel operations is a live board of the travellers on your storefront's bookings: who is in the air, who departs or lands soon, who is at a hotel, and whose trip is disrupted. Flight times are shown in the airport's local time. VIP flights are tracked live, and disruptions go to your Work queue. Where to find it Agency Dashboard → Travel operations (/app/travel-ops). How to read the board 1. Counter tiles at the top: In the air, Departing in 24h, Arriving in 24h, At a hotel, Travelling now, VIP travelling, Disrupted. Click a tile to filter the board by it. Travelling now clears the filters. 2. Table or Map: switch between them. The table has the columns Traveller, Phase, Now / next, Destination, Trip and Order. There is one row per person, and extra trips show as "+{n} more trips". The line above the table shows "{n} of {total} travellers · {trips} trips". 3. Map: shows the same filtered travellers. Trips without a location are counted below the map. Journey phases Each traveller gets a phase based on their itinerary: - In the air — between the scheduled departure and arrival of a flight; - Departing soon — the next departure is within 24 hours; - Just landed — arrived within the last 6 hours; - At the hotel — a hotel booking covers today; - On the trip — any other day of the trip. Travellers appear on the board from the day before departure until the day after they return. Live flight status - The status chip shows Cancelled, Diverted, Landed, Delayed {n} min (from 15 minutes), In the air or On time, together with the terminal, gate and baggage belt when known. A changed time shows as "{new} (was {time})". - VIP travellers' flights are tracked automatically. - For any other flight, click Track live status. This works for flights from yesterday up to 3 days ahead. - When the traveller's local time differs from yours, the row shows "Local time {time} · {city}". VIP travellers VIP travellers carry a crown badge, VIP or Executive, and are listed first. Disruptions A disrupted trip is shaded red and explains what happened: "{flight} cancelled", "diverted", "delayed {n} min", "Connection to {next} missed" or "Only {n} min to connect to {next}". A delay counts as a disruption from 60 minutes. Disruption in the queue takes you to the matching task in the Work queue. Risk alerts - "Advisory: {label}" shows when the destination has a government travel advisory of Increased caution, Reconsider travel or Do not travel. - High and critical risk alerts within 150 km of the traveller during their stay are shown too, up to 2 per traveller. Booking lead time The lead-time strip shows how far ahead your clients book: the median number of days between booking and departure, the middle half of bookings, buckets of 0-2, 3-6, 7-13 and 14+ days, and a By company breakdown. It is based on completed orders from the last 90 days. How to search and filter 1. Type in the search box ("Name, email, PNR, ticket, order…"). It finds a traveller by name, email, order code, company, PNR, ticket number, city or country, and by phone number from 5 digits. 2. Narrow the board with All companies, All countries (several at once), My clients (orders where you are the manager), and the phase chips All phases / In the air / Departing soon / Just landed / At the hotel / On the trip. 3. Save a combination you use often under Saved views. Saved views are kept in your browser. 4. Clear filters resets everything. The traveller panel Click a traveller's name to open the panel: - contact details; - Document: the number is masked. Click Show to see it in full. Showing it is recorded in the order history; - Trip: dates, order, travel policy ("Policy: {name}") and services; - Recent activity: the last 10 events on the order; - buttons Call traveller, Create task, Open order and Login as (see the article on company settings and signing in as a user). When you hover over a row, you get the same shortcuts: Call traveller, Create task and Open order. "Needs data": orders with impossible dates Orders whose dates cannot be right are greyed out at the bottom of the board and marked "!". This covers an end date before the start, a trip ending more than about two years ahead, or a trip that started more than a year ago. They are "Not counted in the numbers above until the order is fixed". Correct the dates and the order joins the counters again. Good to know - The board refreshes itself every 60 seconds and shows "Updated just now" or how long ago. Click Refresh to update it at once. The data can be up to about 90 seconds old. - If a refresh fails, the last rows stay on screen and you see "Refresh failed". FAQ Why isn't a traveller on the board? Travellers appear from the day before departure until the day after they return. Also check the filters and saved view you have on. How do I get live status for a non-VIP flight? Click Track live status on that flight. It works for flights from yesterday up to 3 days ahead. When is a delay shown as a disruption? From 60 minutes. Shorter delays of 15 minutes or more show as "Delayed {n} min" on the status chip. What does the grey row with "!" mean? The order's dates look impossible, so it is kept out of the counters until the order is fixed. Are my saved views available on another computer? No. Saved views are stored in the browser where you created them. Activity feed: every change to your storefront's bookings

The Activity feed is a journal of everything that happens to your storefront's bookings: new orders, status changes, payments, services, traveller data, documents and field edits. Each entry shows who did it and exactly what changed. Where to find it Agency Dashboard → Activity feed (/app/activity-feed). How to read the feed 1. The feed opens on the last 48 hours, 50 actions per page. 2. Each row has the columns When, Action, Order, Who did it, What happened and Task. 3. Events on the same order by the same person within 60 seconds are grouped into one action ("{n} changes"). Click the row to see each event. 4. Changes are written in plain language: "Field: old → new", with the old value struck through, amounts with currency and dates in your format. 5. Click the order to open it. Action names New booking, Cancellation, Tickets issued, Service moved to another order, Rate Guard rebooked, Payment, Price update, Status change, Traveller edit, Document, Service change, Fields edited, Automatic update, Changes. A red dot marks a Problem. How to filter the feed Open Feed filters: - Period: 24 hours, 48 hours, 7 days, 30 days or All time; - search "Order, PNR, surname": the start of an order code, an exact PNR, or at least 3 letters of a traveller's name. Press Enter to search; - Event type: Everything, Problems, New booking, Status, Payment, Service, Traveller, Document, Field edit; - Who acted: Anyone, agents (your team and anyone who worked on the order), Clients, or Automation; - Automation component: Platform, Scheduled job, Rate Guard, Payment provider, Supplier sync, API; - Agent and Company. Reset all filters clears them. "Problems" covers a cancelled order or service, a requested cancellation, a cancellation by time limit, a failed split payment and a skipped card transaction. How to turn an event into a task 1. Find the event and click Create a task in the Task column. 2. A Work queue task "Follow up on order {code}" is created, due in 4 hours. 3. When an event already has a task, the column shows its state instead, for example "Task: in progress", with Open the task. Good to know - The feed updates when you refresh it. New events don't move the pages you are reading until you refresh. - Automation is shown openly. For example, a Rate Guard rebooking reads "Rebooked {service} to a lower rate: {was} → {now}, saved {saved}." - The feed shows client-facing amounts. Net, cost, commission, markup, profit and partner payments show as •••. For traveller edits, it names the fields that changed rather than their values. Passport and document numbers are masked. FAQ How do I see everything that happened to one order? Type its order code in the search and set Period to All time. How do I see only the things that went wrong? Set Event type to Problems. Why don't I see a new event? Refresh the feed. It doesn't update on its own. Can I see what the system changed automatically? Yes. Set Who acted to Automation and, if you like, pick a component such as Rate Guard. Can I create more than one task for the same event? Each event has one task. If it already has one, use Open the task. Work queue: the tasks your team handles on your storefront's orders

The Work queue gathers everything your team needs to act on: ticketing deadlines, paid orders that are not yet ticketed, stuck cancellations, flight disruptions, declined payments, and tasks you add yourself. Tasks are ordered by urgency, and many close themselves when the problem clears. Where to find it Agency Dashboard → Work queue (/app/work-queue). How to read the queue 1. Choose a tab: Mine, Unassigned pool or All. Each tab shows how many tasks it holds. 2. Tasks are grouped by due date into Overdue, Due today, Later, No due date and Closed. Several tasks on one order are grouped under "Order {order}" and can be closed together with Close all {n}. 3. The columns are Kind of work, What needs doing, Order, Assignee, Due and Action (Take it, Open order, In the pool). 4. When tasks are overdue, a banner shows "{n} past their due date". Click Show only those to see just them. Kinds of work Ticketing time limit, Paid, not ticketed, Cancellation stuck, Hotel status check, Flight disruption, Ticketing failed, Payment declined, From the activity feed and Written by hand. A new automatic task goes to the order's manager, or to the Unassigned pool if there is none. When the problem clears, the task closes itself with "Closed automatically: {reason}", for example "Issued", "Service cancelled", "Trip date passed", "Order closed" or "Problem went away". Priority and SLA - Each task gets a priority from P1 to P4. It depends on the kind of work, how soon the traveller departs, whether the traveller is VIP and whether the SLA is breached. The reason is shown, for example "departs in {n} h", "VIP traveller" or "SLA breached". VIP tasks come first. - The SLA clock reads "SLA in {span}", "SLA breached {span} ago" or "SLA paused". It pauses while a task is waiting for the traveller or the supplier, or is snoozed. - SLA targets are shown on SLA settings in the queue header. How to work a task 1. Click a task to open its panel. 2. Click Take it to make it yours, or use Hand it to to give it to a colleague in your team, to Me, or back to the pool (Unassigned — leave in the pool). 3. Set the State: New, In progress, Waiting for the traveller, Waiting for the supplier, Done or Snoozed. To snooze, pick Until and optionally add Why (optional). 4. Change the Due date if needed, and note What was done. 5. To finish, click Close it or use a quick answer: Done in the order, No longer needed, Duplicate of another task, The client handled it. 6. Open order takes you straight to the order. History ({n}) shows everything that happened to the task. To reopen a closed task, change its state again. How to add a task yourself 1. Click Add a work item. 2. Describe what needs doing. 3. Always fill in Order number (optional) with the order number. That is what places the task in your queue. 4. Save. The task appears as Written by hand. How to handle many tasks at once Tick the tasks you need ("{n} selected") and choose Assign to…, Snooze… or Close…. This works for up to 200 tasks at a time. How to filter - State: Still open, Any state, or Closed — the archive (your closed tasks); - Kind: Any kind of work or a specific kind; - Overdue only; - Clear filters to reset. Incidents and playbooks When 3 or more open Flight disruption or Ticketing failed tasks share the same cause, a banner offers Open playbook. From there you can handle them together, for example hand them all to one owner or mark them all as waiting. Queue metrics Click Queue metrics in the header. Choose Last 7/30/90 days to see Open now, Past due now, In / out, Closed within SLA, First reaction (median) and Time to close (median), broken down By kind of work and By person. FAQ I added a task but can't find it. Where is it? Make sure you entered the order number when you added it. Tasks linked to an order of your storefront appear in your queue. Where are closed tasks? Set State to Closed — the archive. Why did a task disappear on its own? Many tasks close themselves when the problem clears, for example when the ticket is issued. You'll find it in the archive with "Closed automatically: {reason}". Who gets a new automatic task? The order's manager. If the order has no manager, it goes to the Unassigned pool. Does waiting for the client count against the SLA? No. The SLA clock pauses while a task is Waiting for the traveller, Waiting for the supplier or Snoozed. Where can I see our SLA targets? On SLA settings in the Work queue header. Company settings, document templates, all users and "Sign in as"

As a TMC admin you manage your own company the way a Director does: company details, people and departments, trip settings and integrations. You also get an Administration block for your storefront, with its document templates and everyone who has registered on it. You can sign in as a person from your own company to see exactly what they see. Where to find it Open the settings panel (secondary menu). Company account Under Companies: My companies, Documents and Negotiated rates. Modules shows when you are the account owner. People and departments - People (/app/employees): add, edit and archive employees, and assign their roles up to, but not including, Director. Roles are managed for everyone else in your company; your own role and the account owner's stay as they are. - Departments: view and edit your company's departments. Trip settings Travel policies, Approval rules, Custom Fields, Rate Guard, Duty of Care, Robert automation and Content providers. Other tools Cardholders, Widget settings, Integrations and API. Each row has icons to open the person's info, open their documents, and sign in as them. How to sign in as a user 1. Go to All users and click the sign-in icon on the person's row. Or, in Travel operations, open the traveller's panel and click Login as. 2. You now see the platform exactly as that person does. 3. To return to your own account, use the banner at the top of the page. Good to know - "Sign in as" works for the people of your own company, apart from the account owner. - Each sign-in is recorded in that person's login history. - Login as in Travel operations is available when the traveller has an account on the platform. - If you try to sign in as someone outside your company, you'll see "You can only sign in as a user of your own company." For the account owner, you'll see "You cannot sign in as the account owner." FAQ Can I make someone a Director or a TMC admin? In People you can assign any role below Director. TMC admin accounts are set up by Travel Code. Why is Login as greyed out for a traveller? That traveller has no account on the platform, for example a guest traveller. Will the person know I signed in as them? The sign-in is recorded in their login history. How do I get back to my own account? Use the banner at the top of the page. Who appears in All users? Everyone who registered on your storefront.
