Meet Robert AI — what it can do

Robert is Travel Code's AI travel assistant. It works with your real trips, expenses and company rules, under your own account, so it sees what you can see and nothing more. Robert answers in the language of your last message and works in English and Russian. Where to find it - Robert page: switch the left sidebar from Main to Robert, or go to /app/robert. Robert uses your current sign-in, so there is nothing extra to connect. - New chat: the New chat button at the top of the sidebar starts a fresh conversation. Your earlier chats are listed under Chats. Use the search icon to search chats and messages, and the menu next to a chat to rename or delete it. - Ask Robert button: on other pages, the floating Ask Robert button opens a new chat that already knows which page you came from, for example the order you were looking at. The chat screen - Map shows or hides the map next to the chat. Flight and hotel results are plotted there, and hotel pins show the price, "Free cancellation" and Rooms & rates. - Share creates a link to the chat (see "Share a chat" below). - Human hands the conversation to a support agent (see "Talk to a person" below). - Tools opens the list of Robert's tools and your flight-disruption automation setting. - Composer: type in "Ask Robert anything...", attach files with the paperclip, or use the microphone for voice input when your browser supports it. Stop interrupts a reply. - Attachments: you can send Robert images and PDFs, up to 10 MB per file. Other file types (for example Excel or Word) can be sent to a support agent after you choose Human. - The line "Robert can make mistakes. Check important info." under the chat is a reminder to double-check anything important before you act on it. How to start 1. Open Robert from the sidebar or click Ask Robert on any page. 2. Type your request in plain words, or pick a suggestion: "Search flights", "Find hotels", "My orders", "Help". 3. Add a file with the paperclip if your request is about a receipt, a policy or a booking confirmation. What Robert can do Travel search - Flights: one-way, round-trip and multi-city searches, shown as flight cards. Refine them with follow-ups such as price range, airline, nonstop only or a departure window, and sort by price, duration or departure time. Robert also suggests options from other airlines on the route and applies your saved preferences. Try: "Find flights New York → London next Monday, nonstop, morning." - Airports and airlines: look up codes and names. "What's the code for Frankfurt airport?" - Live flight status: route, times, delay or cancellation, plus terminal and gate when available. "Is BA2490 on time today?" - Delays at an airport right now: a summary of the most delayed departures and arrivals. "Any delays at JFK right now?" - Who flies a route: airlines and their weekly schedule, for planning. "Who flies Minsk to Antalya?" - Hotels: search by city or area, filter by stars, price per night, meal plan and free cancellation, then open Rooms & rates for a hotel. "4-star hotels in Paris for 3 nights, refundable, under 200 a night." - Transfers: search for a car transfer, shown as transfer cards. "Car from LHR to my hotel on 3 October at 18:00." - Trip map and "My trip": the options you pick in a chat are collected in the My trip panel next to the map, and View trip summary shows them together. Your trips and bookings - Find your orders: upcoming trips, an order by number, or orders filtered by status, passenger or dates. A Director sees the company's orders unless they ask for "mine". "Show my upcoming trips." "Find order FR260915026." - Cancel an order: Robert first checks whether the order can be cancelled and what refund or penalty applies, then asks you to confirm. The check is available to the person who booked the order and to the travellers on it. - Bookings made elsewhere: send Robert a confirmation PDF or screenshot and say "Add this to my trips". It saves the flight, hotel, car, train, transfer or activity using only the details in the document. You find it in My trips (/app/orders) on the Out of platform tab. - Flight delay and cancellation tracking: ask Robert to watch a flight and you are alerted if it is delayed or cancelled. See Flight watch with Robert. Expenses and reports - Receipt to expense: attach a photo or PDF of a receipt and say "Add this to my expenses". Robert shows a receipt card with the merchant, date, currency, total, every line item, VAT, tip, a suggested category and any policy points to check. It creates the expense after you confirm. The expense is then waiting for review in Expenses (/app/expenses). - Your expenses: list them by status, source (manual or card), category, dates or text. "What did I spend on taxis in September?" - Per diem rates: Robert looks up the official daily allowance for a destination and the total for your trip. Official tables are available for companies based in the US, the UK, Germany and France. Other companies can use their own uploaded rate table (see Per Diem: Your Own Rate Table). "What's the per diem for Berlin for a 4-day trip?" - Export to Excel or PDF: Robert describes the file it will make, waits for you to confirm, then gives you a download card. "Export my September trips to Excel." Company rules and knowledge - Travel policy from a PDF: attach your policy document and Robert shows its sections, approval thresholds, cabin and hotel caps, and any points to clarify. A Director or Travel manager can then have Robert create the policy on the platform, and review it in Travel policies (/app/travel-policies) before it applies. Robert takes limits only from your document. - Company knowledge base: Robert answers questions about company rules from your company's own documents first and tells you which document it used. Anyone in the company can add a reference document (a policy, FAQ or contract): attach it and say "Remember this". "What's our hotel cap in London?" - Memory and past chats: Robert remembers useful facts about you from one chat to the next, and can search your earlier conversations. "What did we decide about Milan last week?" Visas, lounges and safety - Visas and entry rules: Robert tells you whether you need a visa, can get one on arrival, can apply for an e-visa (with fees and processing time) or must go to a consulate, and always gives the official website. It can use the nationality from your travel profile. When Travel Code can arrange the visa, Robert points you to Visas (/app/visa). "Where is my visa?" lists the applications you ordered through Travel Code. - Airport lounges: find lounges at an airport (terminal and location), buy a lounge pass, or list your passes. When buying, you choose one lounge or any lounge at the airport, the number of visits and the validity. The traveller's name must be in Latin letters exactly as in the passport. Your pass with its QR code is on Lounges & Fast Track (/app/lounge-passes). - Country advisories: official travel advice and the risk level for a country. "Is it safe to travel to Egypt?" Contacting a hotel - Email a hotel: Robert drafts the email and shows you the draft, the recipient and where the address came from. It sends the email only after you approve. The email is sent from Robert's mailbox and signed by Robert on your behalf. Robert uses the address from your booking, or asks you for one. "Ask the hotel for early check-in." Share a chat 1. Click Share in the chat header. 2. Choose Keep private (the link works only for you) or Shared (anyone in your company can view it). 3. Click Create share link, then Copy. The link includes the messages up to that moment, and people who open it see the chat read-only. Talk to a person 1. Click Human ("Talk to a human"). 2. Confirm with Hand over. 3. A banner shows the agent you are connected to while Robert is paused. The agent sees the conversation so far, and you keep writing in the same chat. Click End chat when you are done. Robert can also suggest a hand-over on its own when a request needs a person. The Tools panel Tools opens the list of Robert's tools: Flight search, Hotel search, Orders, Expenses and Reports (xlsx/pdf). They are set for the whole company, and all of them are on by default. The company Director can switch them on or off. Everyone else sees the current settings with the note "Availability is set by your admin." The same panel holds your Flight disruptions automation choice (see Robert automation for flight disruptions). What Robert will always ask before doing - Cancelling an order: you see a confirmation card with the result of the cancellation check, and the order is cancelled only after you confirm. - Buying a lounge pass: a confirmation card with the details comes first, every time. - Exporting a file: Robert describes the file and waits for your confirmation. - Creating an expense: Robert shows the receipt card and creates the expense after you confirm. - Emailing a hotel: you see the full draft and the recipient, and it is sent only after you approve. - Flight disruptions: Robert never rebooks, cancels or pays on its own. A person confirms every rebooking. Good to know - Robert shows your own data. A Director or Travel manager can ask about company-wide data that their role already allows them to see. - Flights, prices, rates, per diem amounts, expenses and orders always come from live data, and Robert tells you when it finds none. - Your role's permissions and your travel policy apply to Robert exactly as they do elsewhere in Travel Code. FAQ Do I need to connect my account to Robert? No. Robert uses your current Travel Code sign-in. Which files can I send Robert? Images and PDFs up to 10 MB each. To send other file types, click Human and share them with the support agent. Why are some of Robert's tools switched off for me? Your company Director decides which tools are available to the company. Ask them to switch the tool on in Tools. Can Robert cancel my booking? Yes. It checks the cancellation conditions first and cancels only after you confirm on the card. Can other people see my chats? Only if you share one. A Shared link is visible to people in your company, and a Keep private link works only for you. How do I reach a real person? Click Human in the chat header and confirm with Hand over. Robert automation: what Robert does when a flight is delayed or cancelled

Robert, our AI assistant, can watch your travellers' flights and react to delays and cancellations. You decide how far it may go: just tell the traveller, prepare replacement flights, or hand the case to a support agent. Robert never books, cancels or pays by itself. A person confirms every rebooking. Where to find it - Company rules: click your avatar → Settings → Trip settings → Robert automation (/app/robert-automation). - Your own level: in the Robert chat, click Tools in the header → Automation section. How to set the company rules 1. Open Robert automation. The rules apply to every employee of the company, for flights Robert is watching. 2. Under The most Robert may do on its own, choose the company limit: - Tell the traveller: Robert reports the delay or cancellation. The traveller decides what to do. - Prepare alternatives: Robert also searches replacement flights under your rules and sends the three best. The traveller books in one click. - Hand to an agent: Robert also passes the case, with those options, to your support agent, who rebooks. The traveller is told who is handling it. 3. Under Default for employees who have not chosen, pick the level for employees who haven't set their own. It can't be above the company limit. 4. Set the search rules: - Only within the travel policy: out-of-policy flights are never offered. - No acceptable flight — hand to an agent: when nothing fits the rules, Robert passes the case to support instead of just reporting it. - Do not offer fares above: a price cap in your currency. Leave it empty for no limit. - Act on delays from (minutes): 15 to 720. Shorter delays are only reported. Cancellations always count. 5. Optionally add Instructions for Robert, up to 1,500 characters, for example "prefer direct flights". They add context and never override the safety rules. 6. Click Save. You'll see "Automation rules saved". Every change is saved as a new version, and each Robert answer records which version it followed. The footer shows the current version and date. How to choose your own level (every employee) 1. Open Robert and click Tools in the header. 2. In Robert tools, go to Automation → Flight disruptions. You'll see the question "If a flight I am watching is delayed or cancelled, what should Robert do?" 3. Choose Tell me, Find options or Hand to agent. Levels above your company's limit are locked. How to get a flight watched Ask Robert to watch your flight. After you book a flight in the chat, Robert also offers to track it for delays and set a check-in reminder. Just accept. What happens when a flight is disrupted - Robert checks the status of the flights it watches until they take off. - Delays shorter than your threshold get a short heads-up only. - Tell the traveller: the traveller gets a heads-up. - Prepare alternatives: Robert searches the same route and sends the three best options within your rules, cheapest first. If same-day flights can't be booked, it searches the earliest date that can and says so. - Hand to an agent: Robert sends the options it found and opens a support conversation with the case. The traveller is told: "I have handed the rebooking to a support agent — they will reach out." - You get a new alert for a new kind of disruption (a delay becoming a cancellation) or for each further full hour of delay. Good to know - The level Robert uses is the lower of the company limit and the employee's own choice. - Default rules: company limit Prepare alternatives, employee default Tell the traveller, Only within the travel policy on, no price cap, delays counted from 60 minutes. - Alerts reach the traveller in Robert and through their notification settings. See Flight delay and cancellation alerts: email, Telegram, Slack. - For what to do yourself when a flight is disrupted, see Flight Delays and Cancellations — What to Do. FAQ Will Robert rebook my flight without asking? No. Robert never books, cancels or pays by itself. It prepares options, and you book in one click, or a support agent rebooks for you. Can an employee give Robert more freedom than the company allows? No. Each employee can choose a lower level for themselves in Robert, never one above the company limit. How do we stop Robert offering expensive flights? Switch on Only within the travel policy and set Do not offer fares above. Which flights does Robert watch? The flights your travellers ask Robert to watch, including flights they accepted tracking for after booking in the chat. A flight is 20 minutes late. Why did Robert only send a heads-up? Delays shorter than Act on delays from (minutes) are only reported. The default is 60 minutes.
